From Finished Job to Tax Invoice in One Click

A job finishes on site. Now someone has to open a separate invoicing program, find the client, re-type the job details, work out what to charge, add GST, and send it off. Do that for every job, every week, and you've built yourself a second full-time task that didn't need to exist.

Most small businesses end up with this split because job tracking and invoicing were bought as two different tools, from two different vendors, built for two different jobs. The handover between them is where errors creep in — wrong amounts, missed line items, invoices that go out late because nobody got around to the data entry.

The real cost of two separate systems

When jobs live in one app and invoices live in another, every completed job needs manual transfer. That means:

  • Double entry of client details, site address and job description
  • Time lost matching up what was quoted to what was actually done
  • Invoices sitting unsent because the admin step feels like a chore
  • No single view of which jobs are finished but not yet billed

For a trades or services business running several jobs a week across different sites, that adds up to hours of admin that produce nothing except paperwork.

One pipeline, one invoice at the end

ComplianceVault's optional jobs & bookings module tracks a job from enquiry through to completion — enquiry, quoted, scheduled, in progress, ready to invoice, invoiced, complete — with a full activity timeline showing what happened and when. Each job sits under a client, and a client can have multiple job sites, so multi-site customers don't need separate records for every location.

When a job is marked ready to invoice, converting it into a GST-ready tax invoice is a single step — no re-typing the client, site or job details, because they're already attached to the job. The invoice comes out as a PDF you can email, print, edit, duplicate or void if something needs correcting afterwards.

This is useful beyond the office too. With the bookings board, you can see who's scheduled where on any given day, and each team member's "My Jobs" view shows only the jobs assigned to them — not the whole business's workload. That keeps the field side and the admin side connected without extra calls or texts to work out who's doing what.

If you run a trades or contracting business and want to see how this fits together end to end, have a look at job management software for tradies.

What happens once the invoice is out

Getting the invoice out the door is only half the job — getting paid is the other half. The accounting module (also optional, switched on in Settings) adds:

  • Estimates and quotes that convert straight to invoices
  • Automatic reminder emails for invoices that go overdue
  • Recurring invoices for regular clients
  • An optional payment link you can add to an invoice, using a link you've created in your own Stripe account
  • Expenses with GST and attached receipts, so job costs are recorded alongside the income

There's also a GST summary showing G1, 1A and 1B figures by BAS quarter, so you can check your numbers against your activity statement before lodging. Worth noting: ComplianceVault helps you prepare these figures and keep your records straight — it doesn't lodge a BAS or give tax advice, so confirm final figures with your accountant or the ATO.

Compliance doesn't stop at the invoice

Jobs and invoicing matter, but for construction, trades and site-based businesses, none of it means much if the person on site isn't licensed or insured to be there. ComplianceVault was built around tracking licences, certifications and insurance for every employee and contractor — the same dashboard that shows your job pipeline also shows who's valid, who's expiring soon, and who's already lapsed. If you haven't thought about how that side works, it's worth reading about White Card and trade licence tracking on construction sites and tracking subcontractor insurance expiry without a spreadsheet.

Running jobs, invoicing and compliance tracking in one system means less re-typing, fewer missed invoices, and one place to check instead of three. If you want to see how it fits your business, plans start from $49/month AUD and you can check the ComplianceVault pricing and plans or start a 14-day free trial with no card required at compvault.com.au.
